We keep data handling simple: we collect only what we need to run coaching sessions safely and to answer your enquiries, and we never sell it.

Who we are
Dulwich Table Tennis Club operates table tennis coaching and club sessions at Harris Girls Academy, East Dulwich Grove, London SE22 0NR. We are the data controller for the information described on this page.
Information we collect
- Contact details you give us — name, email address and phone number — when you use the contact form, WhatsApp or the booking form.
- Booking and session details, including the coaching service chosen, dates and any notes you send us.
- For juniors, a parent or guardian's contact details plus any medical or accessibility information you choose to share so sessions can be run safely.
- Newsletter subscriptions, where you have opted in.
- Basic technical information from your browser needed to serve and secure this website.
How we use it
- To reply to enquiries and arrange or confirm coaching sessions.
- To keep registers and safeguarding records for junior sessions.
- To take and reconcile payments for coaching, membership and guest play.
- To send club updates where you have asked to receive them.
Legal basis
We rely on legitimate interests to respond to enquiries and administer club sessions, on contract where you have booked or joined, on consent for marketing emails, and on legal obligation where safeguarding or accounting rules apply.
Sharing and processors
We use trusted service providers to run the club: our online booking form provider, our website and database hosting, and our payment providers. They process data on our instructions only. We do not sell or rent personal data, and we share information with third parties outside this list only where safeguarding or the law requires it.
How long we keep it
Enquiries are kept for up to two years. Booking, membership and payment records are kept for up to seven years to meet accounting requirements. Safeguarding records are retained in line with current safeguarding guidance. Newsletter details are kept until you unsubscribe.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to certain processing, or withdraw consent for marketing at any time. Email us and we will respond within one month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office (ico.org.uk).
Cookies
This website uses only the cookies and local storage needed to keep the site working and to keep signed-in club administrators logged in. We do not run advertising trackers.
